TERMS & CONDITIONS AGREEMENT FOR YOURHOLIDAYABROAD

  • Reservations and Payment

A safari is confirmed and only exists when we have received a deposit of 20% of the total in the invoice and the remainder will be cleared 2 weeks before the safari commencement. If payment is not made by the due date, we reserve the right to treat the booking as having been canceled by you (except circumstances that both parties agreed in writing, e.g. on proforma invoice), and apply free cancellation (Only during this Corona pandemic) as set out below on 

  • Cancelation policy & No show

Reservations/Bookings that are canceled, reduced in length of stay or reduced in numbers of participants (hereinafter collectively called CANCELLATION) . 

Cancelation Policy

You have 48 hours from the time of booking to cancel a travel experience for a full refund. After 48hours, the travel experience deposit – and all future payments – are non-refundable.  We highly recommend you purchase a comprehensive travel insurance policy that includes trip cancellation coverage  after booking that includes a “Cancel for Any Reason” option to cover your non-refundable travel experience.

 

Life happens, if you are unable to travel for some reason and you are unable to apply your travel insurance cancellation policy, the transfer of your booking to another person is available or to a later time..

 

Need to notify Us at least a week before; OR if you missed a flight or flight was delayed/changed.

  • You can let us know when you think you are able to travel again or cancel will only charge the administration cost of your travel and  you will loose the deposit.

  1. c)    Accommodation Substitution
    Should the case arise whereby accommodation is not available at the quoted hotels/Lodges/Tented camps alternative accommodation will be provided at hotels/lodges/tented camps of similar caliber.

    d)    Refund
    Whilst the company uses its best endeavors to ensure that all anticipated accommodation is available as planned, we are set to do refund if the plan is canceled due to reasons associated with the Covid-19, being flight cancellation or delay of arrival, sickness to start the plan as required. That will be fully examined and 35% of the total holiday amount will be deducted for administration cost.

    e)    Diet
    Guests with special dietary requirements are advised to warn us well in advance before your departure.

    f)    Luggage
    Please keep your luggage light – soft duffel bags are preferable.  Luggage is limited to 15kg per person on internal local flights. We suggest to take out travel insurance for any lost luggages or excess buggage it’s the customer’s responsibility

    g)     Passport and Visas
    The onus is upon the client to ensure that passport and visas are valid for the countries listed.  The company, its staff and its agents cannot be held liable for any visas etc. not held by the clients.     

 

PASSPORTS & VISAS

Visitors to Africa must have a passport that is valid for at least 6 months beyond your intended departure date, together with onward travel documents, proof of accommodation and sufficient funds for the duration of your stay. In addition, each country you may be visiting generally requires at least 2 consecutive/side by side blank pages on entry for both visas and stamps. Should your itinerary include more than one country, excluding the country of departure and return, please ensure that you have a sufficient number of blank visa pages (not endorsement pages) in your passport. 

Any applicable visas, costs and/or relevant documentation are your responsibility. Please verify with your travel agent or relevant consulate concerning visa entry requirements and, if extending your journey to other countries, visa entry requirements for those countries need to be established as well. Kindly ensure that you have all necessary visas prior to departure from your home country (unless these can be obtained on arrival) as we cannot be held liable should entry be denied. 

All passport holders should verify with their travel agent or relevant consulate concerning visa entry requirements. If you are extending your journey to other countries, please establish entry requirements for those countries as well. Applications, costs and relevant documentation are the responsibility of the traveller.

Travel Regulations – We have been advised Immigration do not consider traveling on holiday an emergency and will therefore not grant entry to any guest traveling on an Emergency Travel Document. Please ensure your clients are advised accordingly so that they have the appropriate travel documentation before departing on their safari.

ACCOMMODATION CHECK IN AND CHECK OUT TIMES

Times may vary depending on th e establishment but generally speaking for hotels, check-in is after 14h00 and check-out is either at 10h00 or 11h00. Use of your room until such time as you are scheduled to depart for the airstrip/airport for onward transfers will be arranged where possible, bearing in mind this is subject to availability and therefore not guaranteed.

Please ensure that you are aware of our booking conditions. Taking this journey with us implies your acceptance of these conditions.

Prior to confirming the booking, each guest must take out comprehensive travel, medical, cancellation, curtailment and default insurance for the duration of their trip.

Due to the remote areas in which we operate, it is vital that all guests are covered for emergencies and other unforeseen circumstances. We will not be held responsible for any guest traveling without insurance.

In most African countries accepted payments are by Master or Visa card. Should you wish to make payment by credit card a 3% surcharge will be added to your costs to cover the standard credit card charges. Some places unfortunately do not accept American Express.

The relevant cancellation policy applies should the guest fail to join or start their safari/journey for any reason, including airline delays or missed connections. Please ensure adequate travel insurance is in place for this eventuality.  

Some itinerary may include camps/lodges that are situated in Malaria and Yellow Fever areas. Please consult a medical practitioner, pharmacist or travel clinic to establish what precautions and/or vaccinations will be required.

h)    Photography
The company reserves the right without further notice to make use of any photography or film taken on safari by our staff for general purposes without payment or permission.

i)    Check-in and check-out times
Rooms are available for check in at 1200 Noon on the scheduled arrival date.  Rooms should be vacated by 1000Hrs on the scheduled departure date. Special consideration may be extended on departure time subject to anticipated arrivals.

j)    Changes to Schedule/ force majeure
Although every effort is made to adhere to the agreed schedules, it should be borne in mind that the Company reserves the right, and in fact is obliged, to occasionally change routes, dates and accommodations on safaris as dictated by changing conditions after liaising with the client.  Such conditions may be brought by “force majeure” or “statutory directive”, seasonal rainfall on bush tracks, outbreak of endemic/pandemic diseases, wars, airfields and game areas, or game migrations from region to another or reservation problems, etc. However, the company shall make all reasonable efforts in resolving the situation not limited to offering alternatives than a refund.

k)    Guide Substitution
If one of our guides is unable to take a safari due to illness or other reasons, we reserve the right to substitute with another guide.

l)    Prices
We will do our utmost to keep the prices as quoted or published.  Should fluctuation in statutory taxes, exchange rates, rise or change in entry fees, etc. force increases on us; we reserve the right to surcharge, but will notify you immediately. Any Bank charges from your own bank or fees due to currency exchange are at your own discretionary.



  1. m)    Participant Incompatibility
    The company may, at its discretion and without liability of its cost to itself, at any time cancel or terminate the passengers booking and in particular without limiting the generality of the forgoing, it shall be entitled to do in the event of illness or illegal or incompatible behavior of the passenger, who shall in such circumstances not be entitled to any refund.

    n)    Publicity Materials
    The company reserves the right to use any photograph or film taken during the safari by any appointed representative of The Company, for the use in The Company’s advertising or publicity material, without obtaining further consent from the client prior to the departure of the client’s appointed safari

    o)    Fitness
    The client acknowledges that the safari can sometimes be demanding and it’s his/her responsibility to ensure that he/she is sufficiently fit and able to embark on the tour.

    p)    Authority of the Safari leader
    Clients will accept the authority and decisions of the safari leader appointed by the Company.  The final decision on the itinerary, accommodation and conduct on the safari will be taken by the safari leader appointed by the Company.

    q)    Liability
    The company is insured against legal liabilities arising from any injuries which might be received by passengers in its vehicles. The Company’s liability to passengers carried in its vehicles is governed by the laws of  that particular country for example and no other Country, and all claims subject to the jurisdiction of the courts of  the particular country .The Company reserves the right to employ sub-contractors to carry out all or part of the Services agreed to be supplied and in the event of the exercise of such right the terms of clause relating to The Company is subject to the booking conditions and cancellation provisions of the Travel organizer or the airline concerned.
  • Neither the Company, nor any person acting for, through or on behalf of The Company shall be liable for any loss or damage whatsoever and without restricting the generality of errors or omission contained in the brochure or other literature, late or non-confirmations or acceptance of bookings, loss or damage caused by delays, sickness or death whether occasioned by the negligence or not.
  • In addition, The Company shall have the right at any time at its discretion to cancel any tour or the reminder thereof or make alteration on route, accommodation, price or other details and in the event of any tour being rendered impossible, illegal or inadvisable by the weather, avalanches, strike, war, government or interference or any other cause whatsoever.  The extra expense incurred as a result thereof shall be the responsibility of the passenger.
  • Please be aware that these safaris may take you into close contact with wild animals.  Attacks by wild animals are rare, but no safari into the African Wilderness can guarantee that this will not occur. Neither the company, nor its employees, nor its agents can be held responsible for any injury or incident on the safari.

 

  1. r)  Governing Law
    All terms and conditions of this agreement shall be governed by and construed in accordance with the laws of United Kingdom, and the Law of the African Country you are visiting and any litigation necessary to resolve disputes between the parties shall be filed in the courts located in the United Kingdom where such a dispute cannot be solved through arbitration.
  • The company is insured against legal liabilities arising from any injuries which might be received by passengers in its vehicles.
